CANCELLATION POLICY

Payment Terms

Payments can be made by Cheque, Electronic Funds Transfer (EFT), Interac e-Transfer, Wire Transfer, or other approved digital payment methods. Cheques should be made payable to LPO Holidays. Guests must ensure they receive and verify a duly completed booking form, statement of account, and official payment receipt.

*In certain cases, if air tickets are booked or issued on special or non-refundable fares, airline cancellation charges over and above the charges mentioned above shall be borne by the Guest.

A) Guest cancels the tour due to personal reasons

  1. If a Guest decides to cancel the tour for any reason, they must immediately notify LPO Holidays by email at info@lpoholidays.ca from their registered email address.
  2. Cancellation charges will apply as per the table above and will be calculated on the Net Tour Price. Charges may vary by tour, sector, or category.
  3. LPO Holidays is not obligated to provide a detailed breakup of cancellation charges.
  4. Any eligible refund will be processed within 10–12 weeks.
  5. Once a booking is cancelled, it cannot be reinstated. Any rebooking will be treated as a new booking and additional charges may apply.

B) Single Guest sharing a room cancels the tour

  1. Single Guests are advised to book specialty tours where room sharing is guaranteed to avoid single occupancy charges.
  2. If a single Guest travels alone on a regular tour, single occupancy charges apply. If a room partner is later assigned for the full tour, the excess amount will be refunded within 10 working days after tour completion.
  3. If a room-sharing partner cancels, no refund will be applicable.

C) LPO Holidays cancels the tour

  1. LPO Holidays reserves the right to cancel or reschedule any tour without assigning a reason.
  2. The amount paid by the Guest will be refunded within 10–12 weeks.
  3. No interest will be paid on the refunded amount.
  4. LPO Holidays is not responsible for any additional expenses incurred by the Guest independently.
  5. Guests may opt for an alternative tour subject to price difference adjustment.

D) Tour cancelled or rescheduled due to force majeure

  1. LPO Holidays may cancel or reschedule tours due to force majeure events such as natural disasters, pandemics, political unrest, or safety concerns. No refund (partial or full) shall be applicable.
  2. Guests must choose the next available departure date of the same tour.
  3. Requests will be made to airlines, hotels, and service providers for rescheduling support.
  4. Changes to destination or sector depend entirely on supplier approval and may take up to 45 days.
  5. If suppliers do not permit changes, actual cancellation charges may apply.
  6. Any price difference will be adjusted toward a future tour or service upgrade. No cash refund applies.

E) Rescheduling due to uncontrollable factors

  1. LPO Holidays may reschedule tours due to airline schedule changes, major events, or government restrictions. No refund will be applicable.
  2. Guests must comply with the revised tour schedule.
  3. Tour enhancements may result in additional charges payable by the Guest.

F) Tour cancelled due to Visa Rejection – Deemed Cancellation

  1. Visa rejection will result in deemed cancellation without further confirmation.
  2. The visa rejection date will be considered the cancellation date.
  3. Guests may reapply for a visa by paying additional visa charges. Visa approval is solely at the discretion of the respective Consulate or Embassy.
  4. If the visa is rejected again, cancellation charges will apply based on the second rejection date.
  5. If no visa decision is received, it will be treated as deemed cancellation.
  6. For group bookings, if one member’s visa is rejected and the group cancels, cancellation charges apply to the entire group.
  7. Guests are responsible for verifying visa details. LPO Holidays is not liable for immigration denial due to visa errors.
  8. For bookings made more than 91 days in advance, actual airfare and visa fees may apply in addition to cancellation charges.

G) Non-payment of tour price – Deemed Cancellation

  1. Full payment must be received as per the booking schedule. Failure to do so may result in cancellation without notice and forfeiture of paid amounts.

H) Right of admission and termination

  1. LPO Holidays reserves the right to refuse bookings without explanation.
  2. LPO Holidays may terminate a Guest’s participation due to misconduct.
  3. No refund will be applicable and return arrangements will be at the Guest’s expense.
  4. No compensation will be payable in such cases.

I) No-show or absence on Day 1

  1. Failure to join the tour on Day 1 is treated as a no-show and no refund applies.
  2. All services will be cancelled unless the Guest notifies intent to join later at their own expense.

J) Discontinuation during tour

  1. If a Guest leaves the tour early for personal reasons, no refund will apply.
  2. Any additional services required will be arranged at the Guest’s cost.

K) Travel Insurance

  1. Group tours include basic travel insurance for Guests up to 59 years of age.
  2. Customized, inbound, and MICE tours do not include insurance.
  3. Insurance claims are subject to insurer approval.
  4. Incidents must be reported within 24 hours.
  5. LPO Holidays is not responsible for claims under privately purchased insurance.

Refund:

All refund decisions are at the sole discretion of LPO Holidays and depend on supplier policies.

Important refund information:

  1. Refunds will be processed in Canadian Dollars (CAD) via cheque, EFT, or original payment method.
  2. Refunds through sales partners will be routed via the same channel.
  3. Refunds are interest-free.
  4. Processing time ranges from 30 to 60 days depending on season and supplier response.
  5. No refund is applicable for unused or non-refundable services.

The Company reserves the right to:

  1. Accept or decline bookings.
  2. Cancel bookings and refund amounts paid.
  3. Remove Guests for misconduct.
  4. Withdraw discounts at any time.
  5. Change airline routing or tour itineraries due to operational requirements.
